Walmart SQEP Fines: How to Dispute Phase 1-4 Defect Charges
How Walmart suppliers can audit, dispute, and recover invalid Supplier Quality Excellence Program (SQEP) fines in FixIt across packaging, labeling, and palletizing defects.

Walmart SQEP defect charges must be disputed in the FixIt portal within 30 days of the defect notification. High-resolution production photos, GS1 barcode verifications, and signed BOLs are required to win.
What is the Walmart SQEP Program?
Walmart's Supplier Quality Excellence Program (SQEP) penalizes suppliers for operational defects that occur during distribution and warehouse receiving. Unlike Accounts Payable deductions which reflect invoice and inventory reconciliation, SQEP charges are non-compliance fines assessed on a per-defect, per-carton basis.
SQEP covers four distinct operational phases:
- Phase 1: PO Accuracy & Advanced Ship Notice (ASN): Data mismatches, late ASNs, or missing packaging hierarchy in EDI 856.
- Phase 2: Barcode & Labeling Compliance: Unreadable UPCs, missing GS1-128 shipping labels, incorrect barcode placement.
- Phase 3: Packaging & Palletizing: Weak corrugate, overhanging boxes, improper stretch wrapping, non-standard pallets (grade A GMA 48x40 required).
- Phase 4: Load & Transportation: Improper weight distribution, damaged goods, blocked trailer doors.
Why Automated Vision Systems Trigger Invalid SQEP Fines
Walmart regional distribution centers utilize high-speed automated camera tunnels to inspect incoming pallets. While fast, these machine-vision scanners frequently produce false-positive defect flags:
- Glare from warehouse lighting reflecting off plastic stretch wrap is often flagged as "Missing Barcode".
- Minor carton scuffs from transportation are incorrectly categorized as "Crushed / Defective Corrugate".
- High-contrast printing on vendor packaging is misidentified as an unapproved secondary label.
[!WARNING] Walmart allows only 30 days from the SQEP charge notification in the FixIt application to dispute fines. Fines not contested within 30 days are automatically deducted from upcoming disbursements.
How to Dispute SQEP Fines in FixIt
1. Identify the Charge in FixIt
Log into Retail Link > Supplier Center > FixIt. Filter by defect date, DC number, and defect code.
2. Inspect Walmart's Photographic Evidence
Click on the defect record and open the attached high-resolution images provided by the DC scanner. In over 40% of cases, close inspection reveals:
- The barcode was completely legible under the stretch wrap.
- The pallet overhang was within Walmart's permissible 0.5-inch tolerance.
- The damage occurred post-delivery due to Walmart forklift handling.
3. Build Your Rebuttal Evidence
- GS1 Barcode Verification Report: Showing Grade A or B scan verification from your packaging plant.
- Pre-Shipment QA Photos: Time-stamped photographs taken on your outbound dock showing clean pallets, proper stretch wrap, and intact corners.
- Signed Carrier BOL with Seal Verification: Proving safe transit and undisturbed trailer loading.
4. Submit the Dispute and Escalate
Submit the rebuttal in FixIt. If denied by the DC automation reviewer, file an escalation ticket via the SQEP Governance Board with your pre-shipment photographic proof.
