Walmart Code 41: Freight billed on invoice not allowed.
Walmart Code 41 means you included freight or shipping charges on a merchandise invoice under Prepaid terms where Walmart does not pay separate freight charges. It is disputable only when your PO or written buyer agreement explicitly authorizes prepaid-and-add freight billing.
Why Walmart issues Code 41.
- ERP automatically added a freight line item to a Walmart Prepaid (FOB Destination) invoice
- Expedited air or special rush shipping requested by a buyer was billed on the merchandise invoice without PO authorization
- Vendor freight terms in Retail Link are set to Prepaid at vendor expense
Documents that win.
- Signed Walmart Vendor Agreement or PO showing 'Prepaid and Add' freight terms
- Written buyer email authorizing expedited freight reimbursement
- Paid carrier freight invoice and BOL
